How Keeper collects, uses, and protects your information.

Who we are

Keeper is operated by Keeper (“we”, “us”). This policy describes what we collect when you use Keeper at keeperhq.co.uk, and what we do with it.

Information we collect

Account information. When your account is created we collect your name, email address, and a password (stored only as a salted hash by our authentication system). If you choose to sign in with Google instead, Google tells us your name, email address and profile picture; we never see your Google password.

Usage information. We keep standard logs of how the product is used — pages visited, actions taken, and the approximate time they happened — to operate and improve the service.

Product data. Keeper stores the branch records shown in the product: properties, landlords, tenancies and their rent-arrears status, repair jobs, safety certificates such as gas safety, and summaries of correspondence threads with landlords and tenants. During the current pilot these are seeded demonstration records — Keeper does not yet connect to letting-management software, repair platforms, email accounts, or phone lines, so no live branch data flows into it. Whatever your branch does put into Keeper is stored so the product can function and is treated as your data, not ours.

How we use information

We use your information to provide and secure the service, to communicate with you about your account, and to understand how Keeper is used so we can improve it. We do not sell your personal information.

Where your data lives

We use three sub-processors. The application runs on Vercel. Application data is stored in a managed Postgres database hosted by Neon. Requests for the AI features described below are routed through the Vercel AI Gateway to the model provider that answers them. We use no email provider, analytics provider, or payment processor.

Hosting regions for these services may include the United States during the pilot. If your branch needs a specific hosting region before going live with real data, email us and we will confirm what is available.

Cookies and consent

We use essential cookies to keep you signed in. Non-essential cookies and scripts (such as analytics) run only with your consent, which is managed by the in-app consent manager. Today Keeper sets no non-essential cookies.

AI features

Keeper has two AI features. It writes your weekly brief — a short plain-English summary of the branch’s exceptions, generated by a large language model from the arrears, void, repair, certificate and correspondence data in your account. And it can draft a reply to a landlord or tenant thread when someone at the branch asks for one, using that thread and the related records.

These requests are routed through the Vercel AI Gateway to the model provider. They are used only to generate the output you asked for and are not used by us to train models.

AI-drafted replies are never sent automatically. A person at your branch reviews and approves every draft before it goes anywhere.

Data retention and deletion

We keep your data for as long as your account exists. Email support@keeperhq.co.uk to request an export or deletion of your account and its data.

Your rights

Depending on where you live, you may have rights to access, correct, export, or delete your personal information, and to object to certain processing. Contact us and we will honor these requests as required by applicable law.

Changes to this policy

If we make material changes we will update the date at the top of this page and, where appropriate, notify you by email or in the product.
